A scheduling convenience on a hobby server. Not a private channel, and not a record to rely on. This is the only tool here with a backend. Names, availability, time zones and comments are sent over HTTPS and stored, a share link is the only access control, and when you send that link you are asking other people to submit their data too. What actually happens to the data

Meeting Planner is server-backed. Event details and participant rows are sent over HTTPS to scheduler.jesse-anderson.net so that share links work. There are no accounts, no analytics and no application cookies.

  • Rows are stored for the duration of the event, 90 days by default, then deleted from live storage.
  • You can delete your own row at any time. Deletion completes within 24 hours and usually immediately; platform backups age out within 30 days.
  • Free-text comments are stored exactly as typed. Nothing is scanned, redacted or filtered.
  • If you are under 16, ask a parent or guardian before entering your name.

A share link is the whole security model

  • There is no authentication. Anyone holding the link can open the event, read every participant's name, availability and comments, and add a row of their own.
  • Links travel. Once forwarded, pasted into a group chat or included in a calendar invite, you no longer control who has it. Treat a link posted anywhere public as public.
  • Nothing here is end-to-end encrypted. HTTPS protects the data in transit and not at rest, and the server operator can read what is stored.

You are collecting other people's data

Creating an event and sending the link is asking other people to submit their name, their availability and possibly a comment. That makes what you do with the link your responsibility, not the tool's.

  • Tell people what the link is and where the data goes before you send it.
  • Do not enter someone else's name or availability on their behalf without asking them.
  • Do not use it to collect availability from people who have not agreed to take part.

Never put this in

Enter nothing you would not put in an unencrypted email to a stranger. A name plus a time can reveal more than either does alone, which is the specific risk of an availability tool.

  • Health information, including anything that identifies an appointment as medical, psychiatric or a support group.
  • Legal, HR, disciplinary, safeguarding or investigatory matters, and anything about a job interview someone has not disclosed.
  • Anything about a child beyond a first name, and anything about someone at risk from being located.
  • Credentials, account details, addresses, phone numbers or identifiers of any kind.

Never use this as a system of record under GDPR, HIPAA, FERPA or any equivalent regime, for clinical or patient scheduling, for employment or academic records, or as a calendar of record. It is not a data processor you have an agreement with.

No availability or durability guarantee

This runs on a personal server as a hobby project. It can be slow, unavailable, or gone, and stored data can be lost without notice or recovery. There is no backup you can call on, no support commitment, no uptime target and no notice period. Copy anything that matters somewhere you control before you need it.

This page and the service behind it are provided as-is and as-available, without warranty of any kind, express or implied, including accuracy, availability, durability, security, confidentiality, fitness for a particular purpose, merchantability, regulatory acceptability, or non-infringement. No guarantee of confidentiality, uptime or data retention is made or implied. To the maximum extent permitted by law, the author accepts no liability for any loss, damage, cost or claim arising from use of or reliance on this page.

Independent verification required. Confirm any meeting time directly with the people attending it before relying on it. A heatmap on this page is not a confirmation, and an entry can be added, edited or deleted by anyone with the link.

Consequential damages excluded. To the maximum extent permitted by law, in no event will the author or maintainers be liable for any direct, indirect, incidental, special, exemplary, punitive or consequential damages, including missed meetings, lost or disclosed data, privacy or regulatory exposure, or loss of use, profits or business interruption, however caused and on any theory of liability, whether in contract, strict liability or tort including negligence, arising out of or in connection with this page, even if advised of the possibility of such damage.

Indemnity. By using this page you agree to indemnify and hold harmless the author and maintainers against any claim, demand, loss or expense arising out of your use of it, including any claim brought by a person whose data you collected through it.

Severability. If any part of this notice is held unenforceable, the remainder continues to apply, and the unenforceable part is limited to the least extent necessary rather than struck out.
